Payment & Settlement

Payments can be made via telegraphic transfer, cash, credit cards, or travelers cheques. Please note, except for cash payments, a service charge may apply. If credit terms have been approved, payments should be transferred via swift or telegraphic transfer to the designated ORIENTAL DESTINATIONTRAVEL bank account. Any bank transfer fees imposed by your bank must be borne by the client or agent.

Reservation, Deposit & Final Payment

A non-refundable deposit of 20% of the total tour package price is required to confirm your booking. The remaining balance must be fully paid at least 15 days before your arrival in Vietnam or tour start date. Failure to complete payment on time may result in automatic cancellation of your booking without refund.

Rates & Validity

All prices are quoted in USD on a net basis and valid until the date stated in your tour program. Prices are confirmed at the time of quotation or invoicing but may change due to market fluctuations, taxes, or currency exchange rates, with or without prior notice.

Children Policy

Children aged 2 to 12 receive a 25% discount on transfers, tours, and packages when sharing a room with two adults without an extra bed. A 15% discount applies if an extra bed is required. Discounts are applicable for one child per room only. Children with their own rooms are charged adult rates but may receive a 30% discount on airfare.

Cancellation Policy

Deposits are non-refundable. ORIENTAL DESTINATION TRAVEL does not charge additional cancellation fees, but clients are responsible for any fees imposed by hotels, airlines, or service providers. No refunds will be made for no-shows or unused services. All cancellations must be submitted in writing.

Amendment Charges

Any booking changes after confirmation incur a service fee of USD 25. Once documents are issued, amendments cost USD 50 per change plus additional charges for voucher re-issuance or airline ticket modifications. Flight date changes may affect prices due to availability and class of service. Amendment fees are in addition to any applicable cancellation charges.

Refunds

Refund requests must be submitted in writing within 30 days after tour completion. Some unused services may not be refundable.

Travel Documents

Travelers are responsible for securing valid passports (valid for at least six months beyond the return date) and visas. Passport details are required for airline and train bookings. Visa requirements vary by nationality; we recommend obtaining visas in advance or using our visa-on-arrival services. ORIENTAL DESTINATION TRAVEL will assist but is not responsible for securing documentation.

Responsibility & Disclaimer

ORIENTAL DESTINATION TRAVEL acts as an agent arranging transportation, accommodation, and other services but is not liable for injuries, losses, delays, or damages caused by service providers, strikes, natural disasters, or force majeure events. We reserve the right to refuse or remove any participant from a tour.

Claims & Dispute Resolution

All claims should be submitted in writing within 30 days after service completion. Disputes will first be resolved by negotiation; failing which, arbitration will be conducted by the Vietnam International Arbitration Centre (VIAC) under Vietnamese law.
